GUIDELINES FOR HOSTING GUESTS ON THE CAMPUS BY THE STUDENTS: ENTRY-EXIT REGULATIONS
- The students are allowed to host guests (parents, extended family members, friends, including alumni) on the campus between 5.00 am and 10.00 pm.
- The host student should inform the ASO at least 24 hrs in advance about the details of the guest(s) using the Google form, including a copy of each guest's valid ID (Aadhaar card/PAN card/Driving license).The google form for the intimation of Guests' arrival can be accessed at: https://forms.gle/rQM9RymoYWFbvByp7
- In case of the sudden arrival of guests without prior intimation as stipulated above, the guest(s) may have to wait at the second gate until approval is obtained, and the approval process may take up to 3 hrs. Hence, such events are strongly discouraged. In such cases, all details will have to be entered in the Google form as usual. Additionally, the original ID of the guest(s) will have to be deposited with the security office, and it will be returned to the guest when exiting the campus.
- While entering the campus, the guest’s details need to be entered in the register, which is kept at the second gate security desk, after which the security officer will issue a visitor’s badge. The guests are requested to wear the visitor’s badge all the time while on campus. The badge should be returned by the guest to the second gate security desk when exiting the campus. Loss of badge or late return of badge will result in a penalty for the host.
- Guests may go through the usual security procedures, including bag and vehicle checks.
- Guests are allowed to take their vehicles past the second gate. However, parking is allowed only in the designated parking lots at the second gate and in the hostel areas if space is available. The guests should adhere to additional restrictions on parking and vehicle movement on the campus that may be in place from time to time.
- Guests are allowed to visit the academic areas. Prior permission of the concerned faculty member is needed to visit the laboratories.
- The host will be fully responsible for the actions of the guests. Hence, the host should ensure that the guests adhere to the rules and regulations applicable on the campus (for example, hostel regulations, prohibitions on the use of alcohol, drugs, and other narcotic substances, driving and parking regulations, etc. All vehicles are required to adhere to the speed limit (Maximum speed: 20 km/h) while driving inside the campus. The use of horns and curbside parking are strictly prohibited inside the campus. Any violation of the rules and regulations by the guests will invite disciplinary action(s) against the host. Repeated violations by guests will prevent the student from being able to obtain permission to host any guest(s) in the future.
- Entry of guests to the hostel premises is governed by the hostel regulations (see, for example, point 16 under “A. General rules” of the Hostel regulations), and those regulations remain unchanged. Guests are usually not allowed inside the hostel rooms. They can wait in the common area/visitor room of the hostels. Certain guests (usually parents, siblings, close relatives, etc.) may be allowed inside the hostel during the usual hours (8.00 am till 6.00 pm) only with the prior approval of the hostel warden. These guidelines supersede those listed in the explanatory notes in the hostel regulations under the section: “On Having Guests (Nonresidents).”
